1.Scope
This Privacy Policy applies to:
- The AI Phone website;
- AI Phone accounts and customer portals;
- Voice, telephone, SMS, MMS, and email features;
- AI voice and messaging agents;
- Call recordings, transcripts, summaries, and analytics;
- APIs, integrations, dashboards, and workflows;
- Sales, demonstration, onboarding, billing, and support interactions; and
- Other services that link to this Privacy Policy.
This Privacy Policy does not govern a third-party website or service that maintains its own privacy policy.
2.Our Privacy Roles
Depending on the context, Prime Axiom may act in different privacy roles.
Information About Our Customers and Website Visitors
We generally determine the purposes and means of processing information about:
- Website visitors;
- Prospective customers;
- Account owners;
- Customer administrators;
- Billing contacts;
- Support contacts; and
- Individuals who communicate directly with Prime Axiom.
For this information, Prime Axiom generally acts as a business, controller, or similar responsible entity under applicable privacy law.
Information Processed for Customers
Customers may upload or process information concerning their employees, leads, applicants, clients, patients, customers, vendors, or other individuals.
When Prime Axiom processes that information only to provide the Services according to the customer’s instructions, the customer is generally the business or controller and Prime Axiom acts as a service provider or processor.
Individuals whose information was submitted by one of our customers should ordinarily direct privacy requests to that customer.
3.Information We Collect
The information we collect depends on how you interact with us and which Services you use.
A. Contact and Identity Information
We may collect:
- First and last name;
- Business name;
- Job title;
- Email address;
- Telephone number;
- Mailing or business address;
- Account username;
- Contact preferences; and
- Electronic signatures or consent acknowledgments.
B. Account and Authentication Information
We may collect:
- Account credentials;
- Password hashes;
- Multi-factor authentication information;
- Single sign-on identifiers;
- Google or Microsoft account information authorized by you;
- Account roles and permissions;
- Login history; and
- Account-recovery information.
C. Billing and Transaction Information
We may collect:
- Billing contact information;
- Billing address;
- Subscription and order details;
- Payment status;
- Purchased and consumed Credits;
- Usage records;
- Invoices;
- Tax information;
- Transaction identifiers; and
- Limited payment-card details supplied by our payment processor.
Payment-card numbers are generally collected and processed directly by a payment processor rather than stored by Prime Axiom.
D. Communications and Customer Content
Depending on the features used, we may process:
- Telephone numbers and contact lists;
- Inbound and outbound call audio;
- Voicemail;
- Call recordings;
- Transcriptions and summaries;
- SMS and MMS messages;
- Emails;
- Call time, duration, routing, and disposition;
- Caller identification and carrier information;
- Prompts, scripts, instructions, and agent configurations;
- AI-generated messages, speech, recommendations, and output;
- Appointment and scheduling information;
- CRM records;
- Support tickets;
- Uploaded documents and files; and
- Other information submitted through an integration or workflow.
Communications may contain personal information relating to individuals other than the account holder. Customers are responsible for providing legally required notices and obtaining necessary consent before submitting or recording this information.
E. Consent and Preference Records
We may collect and maintain:
- Whether a consent checkbox was selected;
- The date and time of consent;
- The telephone number or email address covered by consent;
- The form or page where consent was collected;
- The exact disclosure presented;
- Internet Protocol address and device information;
- Opt-in, opt-out, and re-opt-in history;
- STOP, HELP, START, and similar keyword activity;
- Email-unsubscribe activity; and
- Do Not Contact preferences.
F. Device, Technical, and Usage Information
We may automatically collect:
- Internet Protocol address;
- Browser and device type;
- Operating system;
- Device identifiers;
- Approximate location derived from IP address;
- Pages and features accessed;
- Dates and times of activity;
- Referring pages;
- Click and navigation activity;

- Troubleshoot technical problems;
- Enforce our agreements;
- Protect our users and the public;
- Comply with legal, carrier, and regulatory requirements;

- Improve the Services.
5.Artificial Intelligence Processing
The Services may transmit prompts, communication content, transcripts, or related information to artificial-intelligence systems in order to:
- Understand speech;
- Generate or synthesize speech;
- Draft or classify messages;
- Summarize communications;
- Extract requested information;
- Route or score interactions;
- Complete customer-configured workflows;
- Detect abuse; or
- Provide other AI-powered features.
AI processing may be performed by Prime Axiom or by contracted technology providers.
We may use aggregated, statistical, or deidentified information to evaluate and improve service quality, security, accuracy, and performance.
We do not sell Customer Content. We do not authorize third parties to use mobile opt-in information or text-message consent for their own marketing, advertising, or promotional purposes.
Customers should not submit sensitive or regulated information to an AI feature unless the applicable plan, agreement, and configuration expressly support that information.
6.How We Disclose Information
We may disclose personal information in the following situations.
A. Service Providers
We may disclose information to vendors that help us provide the Services, including:
- Cloud-hosting providers;
- Telecommunications carriers;
- Twilio and other messaging or voice providers;
- Email-delivery providers;
- Artificial-intelligence and model providers;
- Payment processors;
- Customer-support providers;
- Analytics providers;
- Security and fraud-prevention vendors;
- Database and storage providers;
- Identity and authentication providers;
- Professional advisers; and
- Contractors acting under appropriate confidentiality obligations.
These parties may process information only for contracted services and as permitted by law.
B. Customer Account Administrators
If your account is provided by an employer or other organization, administrators of that organization may access account information, usage activity, Customer Content, recordings, transcripts, messages, and configuration information.
C. Customer-Selected Integrations
When a customer enables an integration, we may transmit information to that integration according to the customer’s instructions. The third party’s privacy practices apply after information is transmitted to it.
D. Legal, Safety, and Compliance Disclosures
We may disclose information where reasonably necessary to:
- Comply with law, legal process, or government requests;
- Respond to subpoenas or court orders;
- Enforce our agreements;
- Investigate fraud or abuse;
- Protect rights, property, and safety;
- Respond to carrier or telecommunications-provider investigations; or
- Establish, exercise, or defend legal claims.
E. Business Transactions
Information may be disclosed or transferred in connection with a financing, merger, acquisition, reorganization, bankruptcy, sale of assets, or similar corporate transaction.
F. With Direction or Consent
We may disclose information when you direct us to do so or provide consent.
7.Mobile Information and Messaging Consent
If you expressly opt in to receive SMS or MMS communications from AI Phone, Prime Axiom AI LLC may send messages to the mobile telephone number you provided for the messaging program described at the point of consent.
For the AI Phone demo and requested-follow-up messaging program, messages may include demo and appointment confirmations, appointment reminders, requested follow-up communications, and related customer-support messages. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe from the applicable messaging program or HELP for assistance. Consent to receive SMS/MMS messages is not a condition of purchase.
We do not sell, rent, or share mobile telephone information, text-message opt-in information, or messaging consent with third parties or affiliates for their own marketing or promotional purposes.
Mobile information may be disclosed to telecommunications carriers, messaging providers, aggregators, hosting providers, customer-support providers, and other vendors only as necessary to:
- Deliver messages;
- Operate the messaging program;
- Maintain consent and suppression records;
- Respond to HELP or STOP requests;
- Prevent spam, fraud, and abuse;
- Comply with telecommunications requirements; or
- Provide the Services requested by the customer.
Text-message originator opt-in data and consent will not be transferred to an unrelated third party for that party’s marketing.
8.Sale and Sharing of Personal Information
Prime Axiom does not sell personal information in exchange for money.
Certain analytics or advertising technologies may collect website identifiers through cookies. Depending on the jurisdiction and configuration, some of this activity may be considered “sharing,” targeted advertising, or cross-context behavioral advertising.
Where required, you may manage nonessential cookies or related choices through Cookie Settings.
Mobile opt-in and messaging-consent information is excluded from advertising uses.
9.Communications Choices
Text Messages
Reply STOP to an applicable message to opt out of that text messaging program. Reply HELP for assistance.
We may send one final confirmation after an opt-out request. After that confirmation, no further messages will be sent under that program unless you opt in again.
Marketing Emails
Use the unsubscribe link in a marketing email or contact us. We may continue sending transactional, account, security, billing, support, and legal notices.
Telephone Calls
You may revoke consent for marketing calls by telling the caller, using any available opt-out method, or contacting us. We will process revocation requests in accordance with applicable law.
10.Legal Bases for Processing
Where a legal basis is required, we process personal information based on one or more of the following:
- Performance of a contract;
- Steps requested before entering into a contract;
- Consent;
- Compliance with a legal obligation;
- Protection of legal rights and safety; and
- Legitimate interests, such as providing, securing, administering, and improving the Services.
You may withdraw consent where processing depends on consent. Withdrawal does not affect processing that occurred before consent was withdrawn.
11.Data Retention
We retain personal information for as long as reasonably necessary to:
- Provide the Services;
- Maintain an active account;
- Complete transactions;
- Maintain consent and suppression records;
- Comply with telecommunications and carrier requirements;
- Satisfy legal, tax, accounting, and reporting obligations;
- Resolve disputes;
- Enforce agreements;
- Prevent fraud; and
- Protect legal rights.
Retention periods vary by information type, customer configuration, plan, legal obligations, and operational needs.
Customers may be able to configure retention periods for certain recordings, transcripts, messages, or Customer Content.
Information may remain in backups for a limited period after deletion. We may retain deidentified information where it can no longer reasonably be associated with an identifiable person.
12.Security
We use reasonable administrative, organizational, physical, and technical measures designed to protect personal information.
These measures may include:
- Encryption in transit and at rest where appropriate;
- Role-based access controls;
- Authentication controls;
- Logging and monitoring;
- Restricted administrative access;
- Vendor review;
- Backup procedures;
- Security testing; and
- Incident-response processes.
No method of transmission or storage is completely secure. We cannot guarantee absolute security.
You are responsible for using strong credentials, securing your devices, managing account permissions, and notifying us promptly of suspected unauthorized access.
13.International Data Transfers
Prime Axiom is located in the United States, and our providers may process information in the United States and other countries. These countries may have privacy laws different from those in your location.
Where required, we use appropriate contractual, organizational, or legal safeguards for international transfers.
14.Privacy Rights
Depending on your jurisdiction, you may have the right to:
- Request access to personal information;
- Request correction of inaccurate information;
- Request deletion;
- Obtain a portable copy;
- Restrict or object to processing;
- Withdraw consent;
- Opt out of targeted advertising, sale, or sharing;
- Appeal a denied request; and
- Lodge a complaint with a privacy regulator.
These rights are subject to legal exceptions.

15.California Privacy Disclosures
California residents may have rights under applicable California privacy laws.
During the preceding 12 months, we may have collected the categories described in this Privacy Policy, including:
- Identifiers;
- Customer-record information;
- Commercial information;
- Internet or electronic-network activity;
- Geolocation information at an approximate level;
- Audio and communications information;
- Professional or employment-related information;
- Inferences derived from service activity; and
- Account credentials or other sensitive information when provided.
We collect these categories from the sources described above and use them for the business and commercial purposes described in this Privacy Policy.
We may disclose these categories to service providers, contractors, customer-selected integrations, account administrators, professional advisers, and parties involved in legal or business transactions.
We do not knowingly sell personal information for money. We do not use mobile opt-in data or text-message consent for cross-context behavioral advertising.
California residents may request access, correction, deletion, and information about collection or disclosure, subject to applicable exceptions.
16.Customer End-User Requests
If your information was submitted to the Services by one of our customers, that customer may control the information and determine how it is used.
Submit your request to the organization that contacted you or collected your information.
We will assist our customer with verified requests as required by our agreement and applicable law.
17.Children’s Privacy
The Services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13.
Customers may not use the Services to target children or collect children’s information without all legally required authorization and safeguards.
18.Sensitive and Regulated Information
Do not submit Social Security numbers, complete payment-card data, protected health information, precise financial-account credentials, government identification records, or other specially regulated information unless:
- The feature expressly supports it;
- Your agreement with Prime Axiom permits it;
- Required security controls have been enabled; and
- You have a valid legal basis and required consent.
19.Third-Party Websites and Services
The Services may link to or integrate with third-party websites and services. We are not responsible for the privacy, security, accuracy, or practices of those third parties.
Review their policies before providing information.
20.Do Not Track and Preference Signals
Some browsers offer Do Not Track signals. Because there is no universally accepted standard for these signals, we may not respond to all Do Not Track settings.
Where required and technically supported, we may process legally recognized opt-out preference signals, such as Global Privacy Control, for the applicable browser or device.
21.Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in law, technology, providers, or business practices.
We will post the revised version and update its Effective Date. Where required, we will provide additional notice or obtain consent.
